Position Description

Job Summary:  University of Detroit Jesuit High School and Academy is seeking a confidential and effective Financial Aid Coordinator. This position is responsible for performing tasks essential in maintaining accurate financial records and reports used to make determinations on eligibility for and awarding of financial aid and providing clerical and administrative support for all aspects of the financial aid process. The Financial Aid Coordinator serves as the primary liaison for the financial aid program.
Reports to: Chief Financial Officer. Director of Financial Aid serves as work lead.
Employment Category:  Regular part-time, non-exempt, with a seasonally adjusted work schedule (12-24 hours per week July – December; 30-40 hours per week mid-January – mid June, with some evenings and weekends as needed). 
Job Duties and Responsibilities:
  • Serve as primary liaison with parents regarding all financial aid matters including status of application and communication of the Financial Aid Committee decisions and awards.
  • Manage FACTS online application process. Configure and reset as necessary. Utilize verified data within FACTS to calculate any assistance based on published guidelines in preparation for meeting with Financial Aid Committee.
  • Schedule Financial Aid Committee meetings. 
  • Reconcile financial data with Student Billing Office and monitor the acceptance process with the Admission’s Office.
  • Follow up with families who have not started or completed the FACTS application.
  • Work with Admissions Office to answer family concerns regarding enrollment and financial aid.
  • Provide ongoing, updated status of the Financial Aid Budget Report to the CFO and Director of Financial Aid.
  • Make recommendations for changes/improvements in financial aid application and award process.
  • Maintain filing systems for substantiating clerical accounting entries.
  • Perform backup and assist with administrative support duties within the Business Office.
  • Provide reports and documents in support of the annual financial statement audit.
  • Assist with Special Events (Open House, etc.) as needed.
  • Other job duties and responsibilities as assigned.
Working Environment:
Regular exposure to favorable conditions such as those found in a normal office.
Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally life average weight objects (1 to 10 pounds).
Commensurate with qualifications and experience. Full benefits package also included.


  • Equivalent of an associate’s degree plus five years’ experience in finance, database administration, office management and/or accounting.
  • Strong, positive customer service skills with proven results.
  • Strong communication skills (spoken and written).
  • Highly effective organizational skills.
  • Ability to prioritize while servicing multiple stakeholders in a busy, collaborative, office environment.
  • Exceptional attention to detail.
  • Discretion and sensitivity in dealing with financial records and confidential information.
  • Sensitivity to diversity.
  • Ability to maintain confidential and sensitive financial information.
  • Competent in Microsoft Office Word, Outlook, Excel and Mail Merge. Requires ability to create reports, export data, and utilize Excel (formulas /formatting) and mail merge functions to generate documents.
  • Must be able to read and understand financial information and tax data entered into FACTS application.
  • Prior experience working within a finance or accounting related field, non-profit organization, or school/educational institution.
  • Proven proficiency in an accounting related function.
  • Self-starter with the ability to work independently and solve routine problems, consistently meeting established deadlines.
