Position Description

Manages, organizes, initiates, implements and completes all parish office functions and some parish church functions in an efficient manner.

Qualifications/Requirements

·       Minimum of 3 years office management experience.
·       Proficiency in Microsoft Windows Products and Applications, (2016 Excel, Word, Outlook, Publisher, etc.).
·       Proficiency with ParishSOFT/Connect Now and other Catholic Parish systems and applications preferred.
·       Familiarity with Catholic Church organization and structures is essential.
·       Familiarity with all office operations and functions.
·       Strong computer and communication skills, both verbal and written.  Excellent handwriting.
·       Ability to work well with others and strong multitasking skills are required.
·       Familiarity with FOCCUS a plus.
·       Ability to maintain strict confidentiality.
·       Positive demeanor necessary.
·       Able to work extended hours during busy times of year.
·       Provide secretarial and related office services for parish staff and others.
·       Answer phone calls, receive visitors, take messages and/or transfer phone calls, schedule all parish meetings on facilities calendar (Dynacal Electronic Calendar).
·       Maintain Parish Offering envelope system.
·       Weekly bank deposits and offertory bag retrieval.
·       Maintain Sacramental Record keeping system.
·       Coordinate, assist and instruct volunteers for the execution of all procedures for the CSA, including the production of letters and bulk mailings.
·       Type or produce letters, memos, reports, etc.
·       Maintain and organize office records of various kinds.
·       Issue and monitor facilities keys.
·       Maintain and monitor inventory of materials and office supplies as well as maintenance contracts for office machines.
·       Prepare and produce weekly bulletin.
·       Attend staff meetings and obtain substitute volunteers to cover office when in staff meeting or for other absences.

OTHER RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
 
·       Maintain Parish Soft Database registering and inputting new members, process address corrections.
·       Stock, maintain, and order supplies of bread and wine.
·       Coordinate mailings to all parishioners a few times per year.
·       Maintains Parish Historical Archives.
·       Maintains all parish staff emergency information.
·       Prepare check requests and bank deposits.
·       Coordinating between different operating units within the office and parish.
·       Sending out and receiving mail packages.
·       Assist with light funeral and wedding liturgy planning.
·       Other various daily operations and responsibilities as requested by the Pastor.
