Position Description

  1. Greet and assist staff, parishioners, suppliers, and visitors.
  2. Answer, screen, and route incoming telephone calls and emails. Record clear & accurate messages.  
  3. Prepare regular and bulk mailings.  
  4. Coordinate and send all material for social media to the Communications Team Lead.
  5. Coordinate and send all material for the church bulletin to the bulletin company editor.
  6. Provide Pastor with Announcements & Prayers of the Faithful for the weekend Masses.
  7. Maintain all records for the parish office in accordance with Archdiocesan protocols (such as recording of marriages, baptisms, funerals, new parishioner registrations, financial contributions, Mass intentions).   
  8. Maintain all records for the parish campus office regarding the church, school complex, cemetery, and rental house.  
  9. Provide administrative assistance, as necessary, to the Labor Day Festival chairmen. 
  10. Provide administrative assistance to the Pastor; support additional duties as requested by the Pastor.
  11. Provide copies of Baptismal & other records to appropriate parties.
  12. Manage the parish & pastor calendars. Maintain/update the liturgical schedule. 
  13. Process Mass intention requests.   
  14. All other duties as assigned

Qualifications/Requirements

  1. Must hold a high school diploma; associates degree in business is preferred
  2. Must have a minimum of three year's experience as an administrative assistant or office manager
  3. Must be proficient in Microsoft Office programs and Quickbooks
  4. Must be willing to learn ParishSoft and Google Calendar 
  5. Possess a general working knowledge of the teachings, beliefs, liturgies, and liturgical calendar of the Roman Catholic Church.   
  6. Demonstrated basic knowledge of parish operations and parish office functions. 
  7. Must be able to maintain confidentiality in all matters and at all times.  
  8. Demonstrated excellent communication skills, both written and verbal.  
  9. Good organizational and relational skills.   
  10. Ability to collaborate with parish business manager, school administrative assistant and other parish/school staff
  11. Highly detail orientated; the ability to multi-task and work efficiently to meet deadlines
  12. Must be able to lift 25 pounds
