Position Description

St. Alfred Parish is a vibrant bilingual worshiping Catholic parish dedicated to the education and spiritual growth of the whole parish family. We are seeking a bilingual office secretary. As the office secretary you will be the first point of contact with our parishioners and visitors to the parish; the primary minister of hospitality and personnel resources of the parish.   
 
St. Alfred Parish offers a completive hourly rate. We also offer paid vacation, sick time, a 403B retirement plan and a Pension Plan (once vested). This position is 26 hour per week from Tuesday through Friday and does require some evenings.
 
The ideal candidate must be able to communicate fluently in English and Spanish. The candidate must have the ability to maintain confidentiality in all matters. The candidate must have a general working knowledge of the teachings, beliefs and Holy Days/liturgies of the Roman Catholic Church; able to work flexible hours if necessary; ability to handle all types of calls, including emergencies, quickly and efficiently.

Qualifications/Requirements

  • Greet and assist visitors as a Joyful Missionary Disciple. Answer, screen, and route incoming telephone calls and emails, demonstrating a high level of customer service skill
  • Records clear and accurate messages
  • Prepare regular and bulk mailings
  • Coordinate and send all material for social media to the social media coordinator
  • Coordinate and sends all material for the bulletin to the bulletin editor
  • Provides Pastor with requested announcements for the weekends
  • Maintains all records for the parish office in accordance with Archdiocesan protocols (e.g. recording of marriages, baptisms, funerals, new parishioner’s registrations, financial contributions, Mass intentions, etc.)
  • Provides copies of Baptismal and other records to appropriate parties
  • Process Mass intention requests, update liturgical schedule, and manage the parish calendar
  • Inspects rooms after use by groups and performs building check before closing and alarming daily
  • Additional duties as requested by the Pastor
  • Must be able to communicate verbally and in writing fluently in English/Spanish 
  • Must maintain confidentiality
  • Must be experienced and proficient with technology and be able to adapt to various softwares, such as Microsoft Word, Excel, PowerPoint
  • Must be able to work in web based software such as ParishSoft and Google Calendar – training will be provided to the right candidate who can demonstrate they are comfortable learning new software
  • Good organizational, communication and relational skills
  • Ability to multi-task and work effectively to meet deadlines
  • Ability to adapt and learn quickly
  • Highly detailed oriented
  • Demonstrated basic knowledge of parish operations and parish office functions
  • Able to lift at least 25 pounds is required.
