Position Description

BASIC FUNCTION OF POSITION

The Secretary provides secretarial and clerical support for the parish office operations.

                          ESSENTIAL DUTIES AND TASKS REQUIRED BY THIS JOB

I.                Provides receptionist services for the parish office

  • Records clear and accurate messages
  • Handles routine questions about policies
  • Greets and meets visitors in a friendly manner

II.             Provides secretarial and clerical services to the pastor and business manager

  • Prepares weekly parish bulletin
  • Prepares regular and bulk mailing
  • Collects/Screens incoming mail
  • Distributes mail and other related material
  • Maintains filing system
  • Monitors and orders office supplies
  • Types bulletins, letters, etc
  • Duties as assigned by pastor.

III.           Provides record keeping service for the parish

  • Maintains records for the parish office (e.g. recording of marriages, baptisms, funerals, new parishioner’s registrations, financial contributions, etc.)
  • Enters data

IV.           Coordinates and schedules volunteers in the Parish Office


Qualifications/Requirements

Skills, Knowledge, and Abilities

  • Must have highly developed computer skills (Proficient in Microsoft Office Suite) knowledge of Parish Soft; Type with accuracy - ability to communicate via telephone and email.
  • Excellent organizational skills with attention to detail, problem solving skills, verbal and written communication skills necessary.
  • Must have basic knowledge of how the parish operates and is able to grasp quickly how the parish office functions
  • Must have ability to maintain confidentiality in all matters
  • Must have strong relational skills, the ability to work effectively as part of a team or independently; able to perform effectively in a professional manner.

Education, Training, and Experience

  • Associates degree preferred, Three years minimum administrative support experience work, preferably in a parish or related functions, or equivalent combination required.
